Terms of Use

The AsiaTEFL (hereafter referred to as “the Association”) highly values the protection of members’ personal information and complies with the Act on Promotion of Information and Communications Network Utilization and Information Protection. Through this Privacy Policy, the Association informs members how their personal information is used and what measures are being taken to safeguard it.

If the Association amends this Privacy Policy, members will be notified via website announcements or individual notices.
  1. Personal Information Collected The Association collects the following personal information for membership registration, consultation, and service applications:
    • Collected items: name, date of birth, login ID, home phone number, home address, mobile phone number, email, company name, job title, access log
    • Method of collection: through the website (membership registration)
  2. Purpose of Collection and Use of Personal Information The Association uses collected personal information for the following purposes:
    • Membership management: verifying identity for membership services, preventing fraudulent use, confirming membership intent, delivering notices
    • Providing information on other events
  3. Retention and Use Period of Personal Information Once the purpose of collection and use of personal information has been fulfilled, the Association will, without exception, immediately destroy the relevant information.
  4. Disposal Procedure and Method of Personal
    • Procedure: Information entered for membership registration will, once the purpose has been achieved, be transferred to a separate database (or physical file storage for paper records). It will be stored for a certain period in accordance with internal policies and other relevant laws, then destroyed. Personal information transferred to the separate database will not be used for purposes other than those permitted by law.
    • Method: Personal information stored in electronic file format will be deleted using technical methods that make recovery impossible.
  5. Provision of Personal Information The Association does not provide members’ personal information to third parties except in the following cases:
    • When members have given prior consent
    • When required by law or by investigative authorities following legal procedures
  6. Entrustment of Collected Personal Information The Association does not entrust members’ personal information to external companies without their consent. Should such entrustment become necessary in the future, members will be notified of the entrusted party and details of the work, and prior consent will be obtained.
  7. Rights of Members and Legal Guardians The Association does not entrust members’ personal information to external companies without prior consent. If entrustment becomes necessary, members will be notified and consent will be obtained.
  8. 8. Rights and Duties of Members Members and legal guardians may, at any time, view or correct their own registered personal information or that of children under the age of 14, or request cancellation of membership.
    • To view or correct personal information, members can use “Modify Personal Information” functions after identity verification.
    • To withdraw consent or cancel membership, members can click “Withdraw Membership.”
    • Alternatively, members may contact the Privacy Officer by mail, phone, or email, and prompt action will be taken.
    If a member requests correction of an error in personal information, the Association will not use or provide that information until correction is completed. If incorrect personal information has already been provided to third parties, the Association will promptly notify them of the correction.

    The AsiaTEFL ensures that personal information deleted or withdrawn at the request of members will be handled in accordance with the retention and use period described above, and will not be used for other purposes.
  9. Automatic Collection of Personal Information The AsiaTEFL does not operate devices that automatically collect personal information (such as cookies) when using internet services.
  10. Member Inquiries and Complaints Regarding Personal Information To protect members’ personal information and handle complaints, the Association designates a Privacy Officer as below:

Collection and use of personal information

The AsiaTEFL (hereafter referred to as “the Association”) places great importance on protecting your personal information and complies with the Personal Information Protection Act. Through this Privacy Policy, the Association informs you how your information is used and the measures taken to protect it.
  1. 1. Items of Personal Information Processed The Association collects only the minimum personal information necessary for journal publication and academic exchange. Optional items may be left blank without restricting access to basic services.
    • Required items (at membership registration): ID, password, full name, institution name, affiliation, workplace address, workplace phone number, mobile phone number, email
    • Optional items: date of birth, gender, educational background, career, home address, home phone number
  2. 2. Purpose of Processing Personal Information The collected personal information will be used only for the following purposes. If purposes change, prior consent will be obtained.
    • Academic exchange, publication of journals, and related activities
  3. 3. Retention and Disposal of Personal Information Collected personal information will be immediately destroyed when the purpose of collection has been achieved.
    • When a member withdraws membership or requests deletion, information will be permanently destroyed and cannot be recovered.

  5. 5. Rights of Members and Legal Guardians When collecting personal information from children under the age of 14, the consent of their legal guardian is required. Only minimal information (name and contact details) of the guardian is collected. The guardian may request to view, correct, or delete the child’s information.
  6. 6. Provision of Personal Information The Association does not provide members’ personal information to third parties except in the following cases:
    • Electronic files: Deleted using technical methods to prevent recovery
    • Printed documents: Shredded or incinerated
  7. 7. Entrustment of Personal Information The Association does not entrust members’ personal information to external companies without prior consent. If entrustment becomes necessary, members will be notified and consent will be obtained.
  8. 8. Rights and Duties of Members Members may withdraw their consent to the collection, use, and provision of their personal information at any time. They may also request to view, correct, restrict processing, or delete their information by contacting the Privacy Officer by mail, phone, or fax. The Association will promptly take necessary action unless restricted by law.
